RESERVATIONS


Do we need an appointment or do you take walk-ins?

We prefer for potential customers to make appointments to view the space. When we find out a little about you in advance, we can help you make the best use of your time and ensure all of your questions are answered. However, walk-in appointments are always welcome.

Can we put a hold on the space before reserving?

We can hold the space for up to 72 hours. If we do not hear back from you within that time frame, then the hold will be removed.

What is needed to reserve the space?

Zen requires 50% of the room rental when you sign the contract. This deposit is non-refundable.

RATES & PAYMENTS


Do you offer reduced rates for off-days? 

Yes, we do offer some reduced rates. We have reduced rates for the off season, and we also discount Fridays & Sundays with certain holidays excluded.

 When is full payment due? 

Your full payment is due 30 days out from your event.


SERVICES


What services does Zen staff provide during my event?

Zen provides a full staff to ensure your event is safe and runs as smoothly as possible. We have a General Manager onsite who will take care of Zen’s A/V equipment and building operations, along with a bar manager and full bar staff.

Prior to the event, our staff provides meeting times to go over layout, vendor schedules, and specific needs.

For corporate events, we will coordinate layout, food, and bar. We can provide a turnkey event for corporate clients.

Our staff does not provide day of coordination or design, as this would be handled by a third-party coordinator.

What A/V capabilities does Zen have?

Zen’s A/V capabilities include commercial grade projectors, flat screen TVs, wireless microphones, in-house speaker system (for presentations), and full-facility Wi-Fi access. The system can accommodate a variety of sources, including laptops and IPODs.

Does Zen provide security?

Zen partners with Exec3 Executive Protection to provide all necessary security for events.

WEDDINGS


Can we have our ceremony at Zen?

Yes! We are happy to accommodate your wedding ceremony. Zen is a wedding venue with four unique spaces that can cater to any wedding theme, colors, or decor. Host your ceremony in one of our smaller spaces and reserve The Studio for your band and dance floor at your reception.

Our ceremony is in the garden and it may rain, what are our options?

Zen is both an indoor and outdoor event space. Many brides choose to rent Full Facility in case of rain. When renting Full Facility, the Lotus Lounge is a great option as the weather back up plan—both the garden and the lounge can seat over 200 guests for a wedding ceremony.

Does Zen require a wedding coordinator?

Zen does not require a wedding coordinator. However, we strongly recommend you have one since Zen does not provide this service. Wedding coordinators are especially helpful if you plan to hold your wedding ceremony on site.

Do you allow sparklers, rice or confetti for our reception exit?

Yes, sparklers may be used in the Zen parking lot only. We do not allow rice or confetti. Other creative options our clients have used include bubbles, glow sticks, college pom-poms, and color streamers.


DECOR


Do we need to bring in our own decorations?

Yes, customers may bring in additional décor if they desire. After walking through the venue, though, you’ll find the space doesn’t require much extra décor. Each of our four unique spaces is tastefully decorated, and our built-in bars feature colored backlighting that can be customized to your event.

If you want to provide further decorations for your event such as flowers, vases, candles, linens, or centerpieces, be sure to coordinate with Zen. We do have options for linens and vases on site.

Do we need to bring in our own table linens?

Zen offers packages for table linens, and we keep a wide variety of colors in stock. If we don’t have what you need for your event, additional linens can be brought in to the venue.

Can we bring in our own rentals?

Zen includes several types of furniture in our pricing. For larger affairs, we also include seating for up to 100 guests. We would be happy to rent additional tables and chairs for you, or you can bring them in yourself.

VENDORS


Are we required to use Zen’s preferred vendors, or can we bring in our own?

While Zen does have trusted event vendors that we work with frequently, you may bring in your own vendors if you prefer. All vendors must be licensed and insured.

How much access time is available for our caterer and vendor setup?

Our standard packages include 4 hours prior to your event for caterer and vendor set up. However, we can be flexible depending on the size and complexity of the event. One hour after your event is provided for vendor/caterer clean up.

Can I bring in my own alcohol?

All alcohol must be provided and served by Zen. We have a wide range of packages and options to accommodate your budget.


ALL EVENTS


How many hours can our event be?

Weddings and receptions generally run 4-5 hours. Corporate daytime events can run all day, and evening corporate events can run 3-4 hours. All events must end by 11pm.

Who is responsible for setup and cleanup?

We provide set up and clean up services for the furniture, linens, and decor that Zen provides.Your vendors are responsible for their own set up, clean up, and their equipment. Clients are responsible for taking all personal belongings out of the building at the end of their event.

PARKING


What parking is available?

Zen has eight parking spots in our private lot, which we generally reserve for the bridal party or event hosts. We partner with several parking lots near our building to accommodate your guests, and we will gladly reserve spots for you (rates are seasonal). We can also provide an onsite attendant to direct your guests to the appropriate parking lot or schedule valet service or a shuttle golf cart for you. Street parking is available free of charge.

Does Zen have handicap-access and parking?

Yes, Zen’s private lot includes one handicap accessible spot and a ramp into the facility.
